# Turn Gemini on or off for users (admins) > Admins can turn the Gemini app, Gemini Notebook and Gemini in Workspace apps on or off for everyone or one department in the Google Admin console. > > Source: https://docs.officeniaga.com/gemini-turn-on-off/ Admins control Gemini in the [Google Admin console](https://admin.google.com) under **Generative AI**. The Gemini app, Gemini Notebook and Gemini inside Workspace apps each have their own settings. ## What you can control on your plan Which switches you get depends on your Google Workspace plan: - **All Business and Enterprise plans**: turn the Gemini app on or off, turn Gemini Notebook on or off, manage chat history and sharing, and set the default for smart features. - **Business Standard, Business Plus and Enterprise**: turn **Gemini note-taking** in Meet on or off. - **Enterprise Standard and Enterprise Plus only**: turn Gemini on or off separately in Gmail, Calendar, Drive and Docs, Meet, Chat and Workspace Studio. You need to be a super admin, or have the Gemini Settings admin privilege, to change these. ## Turn the Gemini app on or off This controls [gemini.google.com](https://gemini.google.com), the Gemini mobile app and Gemini in Chrome. It does not change Gemini inside Gmail or Docs. 1. In the Admin console, go to **Menu > Generative AI > Gemini app**. *(Screenshot: Admin console menu with Generative AI > Gemini app highlighted)* 2. Click **Service status**. *(Screenshot: Gemini app settings page with the Service status row)* 3. To apply it to one department, select its organisational unit (OU) or group on the left. Leave the top OU selected to change everyone. 4. Choose **ON for everyone** or **OFF for everyone** (for an OU, choose **ON** or **OFF** and click **Override**). *(Screenshot: Service status with ON for everyone, OFF for everyone and the Save button)* 5. Click **Save**. On the same page you can also decide whether Gemini can read Gmail, Drive and Calendar (**Apps > Workspace apps**), how long chats are kept (**Gemini conversation history and management**, default 18 months) and whether staff can share Gems and chats (**Sharing**). ## Turn Gemini Notebook on or off Gemini Notebook (formerly NotebookLM) has its own switch. 1. Go to **Menu > Generative AI > Gemini Notebook**. 2. Click **Service status**, pick the OU if needed, then choose on or off. *(Screenshot: Gemini Notebook settings page with the Service status and Sharing rows)* 3. Click **Save**. Under **Sharing**, you can also stop staff from sharing notebooks outside your company. See [Gemini Notebook for work](/gemini-notebook/). ## Control Gemini in Gmail, Docs & other apps How you do this depends on your plan. **On Enterprise Standard or Enterprise Plus:** 1. Go to **Menu > Generative AI > Gemini in Workspace**. 2. Click **Feature access**. 3. Select an OU or group if needed. 4. Click **Edit** next to the app, choose **On** or **Off**, then click **Save**. **On Business Starter, Standard or Plus**, there is no per-app switch. The page shows "The ability to control access to features in Workspace services depends on your edition." Gemini in Workspace apps only works when a user has Workspace smart features turned on, so you can set that default instead: *(Screenshot: Gemini in Workspace settings on a Business plan, saying feature access depends on your edition)* 1. Go to **Menu > Account > Account settings > Smart features for Google Workspace**. *(Screenshot: Account settings page with the Smart features for Google Workspace row)* 2. The page starts on **Don't set a default experience**. Choose **Set a default**, then tick or untick **Turn on smart features in Gmail, Chat, and Meet** and **Turn on smart features in Google Workspace services**. The page also lists **Turn on smart features in other Google products** (such as Maps), which Gemini in Workspace apps does not need. *(Screenshot: Smart features for Google Workspace with Set a default, the two Workspace smart feature boxes and the Save button)* 3. Click **Save**. Users can still change their own smart features in Gmail settings, so this sets a starting point, not a lock. Turning smart features off also turns off older features such as Smart Compose and inbox categories. ## Turn Gemini note-taking on or off in Meet This applies to Business Standard, Business Plus, Enterprise Standard and Enterprise Plus. 1. Go to **Menu > Apps > Google Workspace > Google Meet**. 2. Tick or untick **Let people use Gemini note-taking in meetings**. *(Screenshot: Gemini settings page for Google Meet with Let people use Gemini note-taking in meetings set to ON)* 4. Click **Save** (or **Override** for an OU). The same **Gemini settings** card also has **Automatic note-taking**, shown as "For all hosted meetings with 3+ guests". Google says this applies from 21 September 2026, so Gemini may already be taking notes in larger meetings without anyone clicking a button. If you do not want that, check **Automatic note-taking** and change it. ## Other Gemini settings worth checking Under **Menu > Generative AI > Gemini in Workspace** you will also find: - **Workspace Intelligence Sources**: whether Gemini may search Calendar, Drive and Docs, Gmail and Google Chat for context. - **Beta Gemini features**: early features, off unless you turn them on. - **Conversation history & deletion**: whether users can delete their Gemini chats and when old chats are deleted automatically. *(Screenshot: Gemini in Workspace settings with Workspace Intelligence Sources, Beta Gemini features and Conversation history & deletion)* For how Google handles the data behind these settings, see [how Gemini handles your company data](/gemini-privacy/). ## Still stuck WhatsApp our support team at [+60 16-916 3324](https://wa.me/60169163324). ## Common issues ### I turned off the Gemini app but staff still see Gemini in Gmail. Why? The Gemini app setting only controls gemini.google.com, the Gemini mobile app and Gemini in Chrome. Gemini inside Gmail, Docs and the other apps is controlled separately. On Business plans the main switch for that is the smart features setting described on this page. ### There is no Feature access panel under Gemini in Workspace. Where is it? Turning Gemini on or off for each app (Gmail, Docs, Meet and so on) is only available on Enterprise Standard, Enterprise Plus and some Education plans. On Business Starter, Standard and Plus the panel does not appear. ### How long does a change take? Google says most changes take effect within minutes but can take up to 24 hours. Ask users to refresh their browser or sign out and back in.
