Add your Microsoft 365 email to classic Outlook for Windows
To add your Microsoft 365 work email to classic Outlook for Windows, open Outlook, go to File > Add Account, type your work email address and select Connect. Outlook finds the server settings by itself, so you do not need to type any.
Before you start
Section titled “Before you start”Check these first so the setup goes smoothly:
- Outlook is installed. Classic Outlook comes with the Microsoft 365 desktop apps. See install the Microsoft 365 apps. Microsoft says the desktop version of Outlook is included in Business Standard and Business Premium, but not in Business Basic.
- You have signed in once on the web. If this is a new account, do your first sign-in in a browser and set your own password first.
- Which Outlook you have. If the top right of Outlook has a New Outlook switch turned on, you are in new Outlook. See new Outlook or classic Outlook.
Add the account
Section titled “Add the account”These steps are for classic Outlook, the one with a File menu at the top left.
- Open Outlook. If it is the first time, Outlook may ask for your email address straight away; skip to step 3.
- Select File > Add Account.
- Type your work email address, for example
aina@yourcompany.com, and select Connect. - A Microsoft sign-in window opens. Type your password, and approve the sign-in in the Authenticator app if your company uses it.
- If Windows asks whether to let your organisation manage your device, read the message. For a company laptop, your admin will tell you what to choose. On a personal computer, you can choose to sign in to this app only.
- Select OK, then Finish.
Outlook downloads your email, calendar and contacts. A large mailbox can take a while the first time, so leave Outlook open.
Remove an account
Section titled “Remove an account”If you need to take the account off a shared or old computer, go to File > Account Settings > Account Settings, select the account and choose Remove. This removes the email from this computer only; nothing is deleted from your mailbox.
Shared mailboxes
Section titled “Shared mailboxes”If your admin gave you access to a shared mailbox such as sales@, it usually appears under your own mailbox after you restart Outlook. See open a shared mailbox.

Common issues
Outlook asks for server names and ports. What do I type?
You should not need any. Microsoft 365 accounts set themselves up from your email address. If Outlook asks for IMAP or POP settings, go back and check you typed your work address correctly, then ask your admin to check that your domain's autodiscover record is in place. See connect your domain.
I have Business Basic. Why can't I install Outlook for Windows?
Microsoft's Business Basic plan includes Outlook on the web and the Outlook phone app, but not the desktop version of Outlook. Use Outlook on the web or ask Office Niaga about a plan with the desktop apps.
Outlook keeps asking for my password.
Close Outlook, open it again and sign in when the Microsoft sign-in window appears, including the Authenticator step if your company uses one. If it keeps asking, your password may have changed or expired; see forgot your password.
