Set default settings for every new mailbox (User Defaults and Propagate)
As a domain admin, go to Domain Settings > User Defaults to choose the settings every new mailbox starts with, then click Save.
Change the defaults
Section titled “Change the defaults”- Log in to webmail with your domain admin account.
- Click the Domain Settings icon in the top bar, then User Defaults in the left menu.
- Review each card:
- Account: Mailbox Size Limit MB (0 = Unlimited).
- User: Language, Time Zone, Plus Addressing, Calendar Auto-Clean, Disable password changes, Show in Global Address List (see Global Address List) and Forward all email to another address.
- Service Access: Webmail, POP, IMAP and Inbound SMTP.
- Webmail: Delete Email Action, Compose Font, Default From Address, Request read receipts by default, Show images from external websites and more. Staff can change their own later. See Reply-To, default sender address and read receipts and Why logos and pictures do not show.
- Throttling: outbound limits. Leave these unless we advise otherwise.
- Click Save. The new defaults apply to mailboxes you add from now on.
Tips for Malaysian businesses
Section titled “Tips for Malaysian businesses”- Check that Time Zone shows (UTC+08:00) Kuala Lumpur, Singapore, so meeting times and email timestamps are correct. Staff can still change their own. See Set your time zone and business hours.
- If every staff member uses IMAP, turn off POP under Service Access. See IMAP or POP3: which one to choose.
Apply to existing users (Propagate)
Section titled “Apply to existing users (Propagate)”Propagate pushes the defaults to users who already exist.

Common issues
I changed User Defaults but my existing staff did not get the new settings.
Save only applies to mailboxes created after the change. To apply the defaults to existing users, use Propagate, but read the warning in this article first.
The Save button is greyed out.
Save stays greyed out until you change a setting on the page. Change a value and it becomes clickable.
Can a normal user open User Defaults?
No. Only a domain admin sees Domain Settings. Ask your company admin, or contact us.
